Protection of personal information under Quebec's Law 25 (Loi 25)

Scope and commitment
This policy applies to personal information that Danguage collects through the danguage.com website, pilot or contact forms, and the Danguage professional integration platform. Danguage applies privacy by design and by default, in compliance with the Act respecting the protection of personal information in the private sector (Quebec), as amended by Law 25, and with applicable federal rules (PIPEDA) where they apply. This policy is written in clear language so you can understand our practices before providing information.
Person responsible for the protection of personal information
Danguage has designated a Person Responsible for the Protection of Personal Information (the privacy officer). For questions, access requests, or complaints about personal information, contact the privacy officer at privacy@danguage.com. Personal information we collect and how we collect it
Depending on how you interact with us, we may collect: (1) identity and contact details (name, work email, phone, organization, role); (2) professional and training data (modules assigned, simulation sessions, scores, progress, readiness indicators); (3) voice recordings and related transcripts or assessment outputs from voice practice; (4) support and inquiry content you send us; (5) technical and usage data (IP address, device and browser type, pages viewed, approximate location derived from IP, language preference, cookie identifiers). We collect this information through website forms, the platform interface, voice sessions, email or chat support, and cookies or similar technologies on the website.
Purposes of collection and use
We collect and use personal information only for the purposes disclosed at collection, including: responding to pilot and contact requests; creating and administering accounts; delivering workplace language simulations and feedback; producing readiness metrics and reports for the sponsoring organization under contract; securing and improving the website and platform; complying with law; and communicating service-related notices. We do not use personal information for unrelated secondary purposes without a new, valid consent or another authorization provided by law.
Sensitive information and voice data
Voice recordings used in simulations are treated as sensitive personal information. They are processed to deliver practice and assessment features, are not sold, and are not used to train third-party commercial AI models. Where consent is required, it is obtained before voice collection. Access to voice data is limited to authorized personnel and systems needed to operate the service.
Consent
Where Law 25 requires consent, it must be clear, free, informed, and specific to the stated purposes, and given separately from terms of use when required. You may withdraw consent at any time, with the same ease as it was given, subject to legal or contractual limits (for example, information needed to complete a contracted service or meet legal obligations). Essential cookies required for the site to function do not require optional consent; non-essential analytics or similar technologies are addressed in the cookies section and in our cookie notice.
Who has access within Danguage and client organizations
Within Danguage, access is limited to team members and contractors who need the information to perform their duties (for example product, support, security, and operations), under confidentiality obligations. When an employer or integration organization sponsors use of the platform, authorized counselors, coordinators, or administrators of that organization may access results and readiness indicators for their cohorts, as provided in the service agreement. We do not make profiles publicly available.
Service providers and communication outside Québec
We do not sell personal information. We may communicate personal information to service providers that host, secure, analyze, or support the website or platform, under contracts that require confidentiality and appropriate safeguards. Preferential hosting is in Canada. Before communicating personal information outside Québec, Danguage conducts a privacy impact assessment (évaluation des facteurs relatifs à la vie privée) as required by Law 25 and ensures contractual or other measures that offer adequate protection.
Cookies and similar technologies
The website may use essential cookies needed for security, language preference, and basic operation, and may use analytics or chat tools (for example Google Analytics, PostHog, or Crisp) when configured. Details are described in our Cookie Policy. Our on-site cookie banner records your Accept or Decline choice so we do not show the banner again; it does not by itself change which tools are loaded from environment configuration. Automated processing and profiling
The platform uses automated processing to score simulations, surface readiness indicators, and help counselors prioritize follow-up. These outputs support human decisions by client organizations; they are not intended as the sole basis for decisions that produce legal effects or similarly significant effects about an individual without human involvement by the sponsoring organization. You may request information about such processing and, where Law 25 provides, submit observations.
Retention and destruction
Personal information is retained only as long as necessary for the purposes stated, for the duration of the client agreement where applicable, and for legal, tax, or dispute-resolution requirements. When retention is no longer required, information is securely destroyed or irreversibly anonymized in accordance with Law 25.
Security measures
We apply security measures proportionate to the sensitivity of the information, including encryption in transit and at rest where appropriate, access controls, logging, and periodic review. No method of transmission or storage is perfectly secure; we work to reduce residual risk.
Confidentiality incidents
Danguage maintains a confidentiality incident register. If an incident presents a risk of serious injury, we notify the Commission d'accès à l'information du Québec (CAI) and the individuals concerned, as required by Law 25, and take steps to reduce the risk of harm.
Your rights
Subject to the limits set out in the Act, you may request access to your personal information, rectification of inaccurate or incomplete information, withdrawal of consent, cessation of dissemination, and—where applicable since September 22, 2024—portability of computerized personal information in a structured and commonly used format. Requests: privacy@danguage.com. We respond within thirty (30) days, subject to lawful extensions. We may need to verify your identity before fulfilling a request.

Changes to this policy
We may update this policy to reflect changes in our practices or legal obligations. The version published on this page, with its update date, is the current one. Material changes will be brought to your attention by updating this page and, where appropriate, by additional notice.
